10 EFFECTIVE DIARY MANAGEMENT TIPS

1. Colour code important meetings for instant referencing

2. Insert "Out of office" space around meetings to give your boss time to relax.

3. Decline more meetings. Find out from your boss if you can decline a particular meeting or send a representative.

4. Avoid scheduling back to back meetings - especially if the meeting that follows is an important meeting. Give your boss time to mentally prepare.

5. Ask permission to arrive late. If there's a clash in the timing of important meetings, note the time of your boss's item on the agenda and find out if he/she can arrive late.

6. Reduce one-hour meetings by 10 minutes if you can get away with it.

7. Schedule more breakfast meetings - they give you more time in the diary to play with.

8. Agree with other PAs to alternate the meeting location so that your boss can have the other party visit him/her periodically.

9. Face-to-face meetings. Don't assume that a particular meeting that occurs regularly always has to be a face-to-face meeting. Make full use of videoconferencing and tele-meetings.

10. Find out from your boss if he/she would like to you to continue scheduling meetings such as weekly 1-hour 1:1 meetings with direct reports, or if they can be shortened to 45 or even 30 minutes and changed to bi-monthly.
