Timing Events
to Maximise Effectiveness

When timing events and corporate functions, consider the following factors.

1. Can the vast majority of the invitees attend at the proposed time? Are you scheduling the event at a time when most of your guests will be unavailable? Avoid scheduling events during summer holidays. And avoid notable dates like Valentines Day and Halloween.

2. When choosing a venue, find out if other events will be held there at the same time. Avoid other people's events if they clash with your corporate values. And you certainly want to avoid competitors. Other people's events can be disruptive to your guests so it pays to know who you are sharing the venue with.

3. When organising an event, find out what else is happening on your chosen date? Local events and festivals could impact the smooth running of your event as they create scarcity. Finding a taxi could be difficult and guests may arrive late due to traffic jams.

4. Is the event scheduled for the right season? A product launch for frozen yoghurt will be more effective if held in the summer months. Also, bad weather can be very disruptive to your plans - holding an open air event during the rainy season is not advisable.

5. Be sensitive to religious festivals. Avoid booking an event during a notable religious period, when some of your guests may be fasting.

6. Timing events for slow periods is advisable. You can negotiate better rates with hotels during slow periods. You may also be able to negotiate later check-out times, etc.

7. Avoid organising events for a time that is critical to business processes, such as a time when month end figures are expected, or things of that nature.

8. Mid-weeks or Saturdays are the best days for events. Mondays and Fridays are bad days for corporate events so they should be avoided.
