How to Manage Your Time

Time management training is important if you want to use your time effectively. For busy Personal Assistants and Virtual Assistants who are required to manage resources, one of which is "time", time management training is essential.

“Procrastination” is the art of putting off until tomorrow what you can do today, so don’t wait for the right mood to complete tasks. One of the best time management strategies for controlling procrastination is the "one touch" rule. This means that when you pick up a piece of paper from your in-tray, you should read it, and if need be write an action comment on it so that you will know what to do when you next pick it up; therefore, there is no need to waste valuable time reading it twice. Set realistic goals, and banish procrastination.

1. Set goals – This will remind you what you want to achieve with your time and will require that you set a realistic time management schedule. Be specific about how you will achieve your goals.

2. Decide which tasks are important as opposed to urgent. Time management training will explain the difference between urgent tasks and important tasks. Urgent tasks must be done "immediately" but important tasks "must" be done. Most urgent tasks are not important, so important tasks should be given priority when planning.

3. Familiarise yourself with your priorities. Note the 80-20 Pareto principle that says 20 percent of the effort used on important tasks results in 80 percent of the rewards; therefore, when creating your time management schedule focus on the 20 per cent of important tasks that will bring 80 per cent of rewards.

4. Goals should be broken down into specific actions to form a process plan. A process plan is a step by step guide for completing each task. It will help you to come up with better ways to tackle your goals. A process plan will highlight any issues or conflicting tasks. And it will help you to prioritise routine tasks.

5. When writing your time management schedule, include specific times to complete each task, including small tasks.

6. Review your process plan regularly and tweak as necessary.

7. Keep a time management diary. This will help you to analyse how your time is being spent. The results may surprise you, as you could discover that you are not using your time management strategies effectively.
